JOB DESCRIPTION
Job title : Administrator
Compensation : £30,000 - £50,000
Location: West of London
Reports to : General Manager (UK)
Job purpose
The Administrator will provide support across Accounting, Governance, Legal, HR, and other general administrative tasks. The ideal candidate will be proactive, able to manage multiple priorities, and possess strong communication skills to facilitate the smooth functioning of various business functions.
Principal responsibilities:
Accounting
- Prepare and post payroll journal
- Upload invoices and raise payment requests
- Management of the company credit card account
- Other general accounting tasks
HR
- Drafting of offer letters and employment contracts
- Obtaining HR related approvals
- Carry out administrative onboarding for new starters
- Management of visa application process for non-UK employees
- Payroll calculation
- Leave management
- Other general HR related tasks
Governance
- Set up and maintenance of policy review cycle
- Preparation of written resolutions for Board of Director meetings
- Management of company’s legal obligations
- Other general governance related tasks
Other
- General office management – ordering of supplies etc
- Responding to enquiries from Japan parent company
- Support for business visitors
- Sharing of information between Japan and UK
- Maintain document templates
- Maintain Sharepoint files
Knowledge, Skills & Experience
- Strong organizational and multi-tasking skills
- Excellent written and verbal communication skills
- Detail-oriented with the ability to manage sensitive information with confidentiality
- Strong problem-solving skills and the ability to work independently
- Japanese/English bilingual
- MS Office proficiency
- Proven experience in administration or office management (desired)
- Familiarity with UK HR, accounting and legal requirements (desired)
- Familiarity with HR and Accounting systems (desired)
